Research Ethics, Author Declarations, and Data Availability Requirements

Consortia Academia is committed to promoting transparency, accountability, research integrity, and responsible scholarly publishing. To support these principles, all submitted manuscripts must include appropriate declarations concerning the use of artificial intelligence, author contributions, research ethics, data availability, funding, and potential conflicts of interest. Authors are encouraged to include the following declaration sections in their manuscripts, indicating “Not applicable” or providing an appropriate explanation when a particular requirement does not apply. These statements should ordinarily appear after the main text and before the reference list.

1. Declaration of AI and AI-Assisted Technology Use

All submitted manuscripts must include a declaration regarding the use of generative artificial intelligence (AI) and AI-assisted technologies during the research and manuscript preparation process. When such technologies have been used, authors must identify the tool or application, describe its purpose, indicate the stage of research or writing in which it was used, and explain how the resulting output was reviewed and verified. Disclosable uses may include idea development, literature exploration, translation, language editing, drafting, summarization, coding, transcription, data analysis, and the preparation or modification of figures and images. Authors remain fully responsible for the accuracy, originality, verification, and ethical integrity of all submitted content. AI tools may not be listed as authors or co-authors.

Suggested statement when AI was used:

Declaration of AI and AI-Assisted Technology Use: During the preparation of this manuscript, the author(s) used [tool name and version, if available] for [specific purpose]. The author(s) reviewed, verified, and revised the resulting output and accept full responsibility for the content of the manuscript.

Suggested statement when AI was not used:

Declaration of AI and AI-Assisted Technology Use: The author(s) declare that no generative AI or AI-assisted technologies were used in the research, writing, analysis, or preparation of this manuscript.

2. Author Contributions

All manuscripts having more than two authors must include an Author Contributions statement identifying the scholarly contributions of each listed author. Consortia Academia encourages the use of the Contributor Roles Taxonomy (CRediT), which provides standardized descriptions of research contributions, including conceptualization, methodology, investigation, formal analysis, data curation, supervision, validation, visualization, and manuscript preparation. Authors may have multiple contributor roles, and the same role may be assigned to more than one author. All listed authors must have made an appropriate scholarly contribution and approved the final manuscript.

Suggested statement for multiple authors:

Author Contributions: Conceptualization, A.A. and B.B.; methodology, A.A.; investigation, B.B.; formal analysis, A.A. and B.B.; writing – original draft, A.A.; writing – review and editing, A.A. and B.B.; supervision, B.B. All authors have read and approved the final manuscript.

Suggested statement for a single author:

Author Contributions: The sole author was responsible for the conceptualization, methodology, investigation, analysis, writing, revision, and final approval of the manuscript.

For additional information, authors may consult the CRediT Contributor Roles Taxonomy.

3. Ethics Approval and Informed Consent

All manuscripts reporting research involving human participants, identifiable personal information, or other ethically sensitive research activities are encouraged to include an appropriate statement concerning ethical review and informed consent. Where applicable, authors should identify the Institutional Review Board (IRB), research ethics committee, or equivalent authority that reviewed and approved the study, together with the approval number and date, if available. Studies involving students, children, patients, or vulnerable populations should provide sufficient information to demonstrate that appropriate participant protections were considered and implemented. When formal ethics approval was not required or was officially waived, authors must provide an appropriate explanation rather than simply omitting the statement.

Suggested statement when approval was obtained:

Ethics Approval and Informed Consent: This study was reviewed and approved by [name of institutional review board or ethics committee], under approval number [number], dated [date]. Informed consent was obtained from all participants or their legally authorized representatives, as applicable.

Suggested statement when approval was waived:

Ethics Approval and Informed Consent: The requirement for formal ethical review was waived by [name of responsible ethics committee or authority] because [brief explanation]. Appropriate measures were taken to protect participant rights, privacy, and confidentiality.

Suggested statement when not applicable:

Ethics Approval and Informed Consent: Not applicable. This study did not involve human participants, identifiable personal data, animals, or other research activities requiring formal ethical review.

Authors must ensure that their statements accurately reflect the ethical requirements applicable to their research. A declaration of exemption does not replace any ethical approval required by the author’s institution or relevant regulations.

4. Data Availability Statement and Research Repositories

All empirical research manuscripts are encouraged to include a Data Availability Statement explaining whether and how the data supporting the findings may be accessed. Consortia Academia encourages authors to deposit appropriately de-identified research data, instruments, analytical code, and other supporting materials in recognized institutional or scholarly repositories when ethically, legally, and practically appropriate.

Examples of repositories include Open Science Framework (OSF), Zenodo, Dataverse, and suitable institutional or disciplinary repositories.

When data have been deposited in a repository, authors should provide the repository name and a persistent link or DOI, where available.

Public data deposition is encouraged but is not a universal requirement for publication. Research data involving confidential participant information, sensitive records, contractual restrictions, or other legitimate ethical or legal limitations should not be publicly disclosed without appropriate authorization and safeguards.

Suggested statement for publicly available data:

Data Availability Statement: The data supporting the findings of this study are available in [repository name] at [persistent URL or DOI].

Suggested statement for data available upon reasonable request:

Data Availability Statement: The data supporting the findings of this study are available from the corresponding author upon reasonable request, subject to applicable ethical, privacy, and institutional restrictions.

Suggested statement for restricted data:

Data Availability Statement: The research data are not publicly available because they contain confidential or potentially identifiable participant information. Access is restricted in accordance with the ethical approvals and consent conditions governing the study.

Suggested statement when no new data were generated:

Data Availability Statement: No new empirical data were generated or analyzed in this study. Data sharing is therefore not applicable.

Authors should select the statement that accurately represents the availability of their research materials and provide additional information when necessary.

5. Funding Declaration

All manuscripts are encouraged to include a statement identifying the financial support received for the research, manuscript preparation, or publication, where applicable. Authors should identify the funding organization and relevant grant or project number when available.

Suggested statement when funding was received:

Funding: This research was supported by [funding organization] under grant number [grant number].

Suggested statement when no external funding was received:

Funding: This research received no external funding.

6. Conflicts of Interest

All manuscripts are encouraged to include a declaration of potential conflicts of interest or competing interests that could influence, or reasonably appear to influence, the research or its interpretation. Potential competing interests may include financial relationships, employment, consultancies, professional collaborations, personal relationships, or other relevant circumstances.

Suggested statement when no conflicts exist:

Conflicts of Interest: The author(s) declare no conflicts of interest related to this research.

Suggested statement when conflicts exist:

Conflicts of Interest: The author(s) disclose the following potential competing interests: [provide relevant details].

Submission Compliance

Authors are responsible for ensuring that all required declarations are accurate, complete, and consistent with the information provided in the submitted manuscript and accompanying publication forms. Statements that do not apply to a particular study should be clearly identified as not applicable, together with an explanation when appropriate. The editorial office may request clarification, supporting documentation, or revisions to the declarations before publication. Failure to disclose relevant information or the submission of materially inaccurate declarations may be addressed in accordance with Consortia Academia’s Publication Ethics and Research Integrity Policy.
